Conflict of Interest (COI) Reporting for Abstracts Submitted to the Annual Meeting of the Japanese Society of Gastroenterological Surgery(JSGS) at JDDW (Japanese Digestive Disease Week)

When making a presentation or giving a talk at the annual meeting of the JSGS, all speakers, including the lead speaker and co-speakers (regardless of whether they are members of the JSGS) have the obligation of self-reporting conflicts of interest for the past three years. Presenters are requested to self-report according to the scope and method shown below. If appropriate self-reporting is not performed then the abstract's submission may be cancelled, so please observe this obligation.

1.Scope of Reporting

  • The scope includes all speakers, including the lead speaker and co-speakers (regardless of whether they are members of the JSGS).
  • Spouses, parents, children or persons who share income or property, are not included in the scope (no need to report).
  • Not only clinical research but also basic research and presentations of company sponsored plans such as at luncheon seminars are subject to the scope of COI reporting.
  • The status of the conflicts of interest for individuals involved with companies and for-profit organizations that are related to presentations.

 

2.Method of Reporting

I. At the Time of Abstract Submission

  1. Report the status of conflicts of interest for three years(*) prior to the time of abstract submission, using the Online Form. Combine and report for all the authors at one time(on one page).
  2. Report the specific types and content of interests as specified below (appendix). The monetary amounts and conditions that are in the reporting scope refer to "the total monetary amount provided to an individual (one person) over one year (*)". (They do not refer to "total amounts for multiple persons or employees", or to "the total amount provided to an individual (one person) over three years".)

*Note:
The year of the abstract submission, from January 1 until the submission, is counted as one year, and each of the two previous years, from January 1 until December 31, is counted as one year.

(Example)
If the abstract is submitted on February 1, 2024 then the self-report period is:
January 1, 2022 through February 1, 2024.

II. At the Time of Presentation

  • The same content as in the reported conflicts of interest at the time of abstract submission (if reported) must be shown at the beginning of the presentation slides or at the end of the posters.
  • When reporting, combine and report for all authors on one slide.
  • The monetary amounts that require self-reporting are given in the following Appendix. However, even if there are no items to be reported, it is necessary to make a statement to that effect. The monetary amounts and conditions that are in the reporting scope refer to "the total monetary amount provided to an individual (one person) over one year (*)". (They do not refer to "total amounts for multiple persons or employees", or to "the total amount provided to an individual (one person) over three years".)
  • It is recommended that the following forms be used for presentation slides. However, there are no required forms, as long as the reported contents follow the guidelines.

Type of Interest Description Monetary Amounts or Conditions that are in the Reporting Scope
Officers and Consultants Total amount of compensation received per year from a single company or for-profit organization as an officer or consultant. Over 1,000,000 yen
Stockholders Total profit per year from stock in one company (sum of dividends and profit on sales), or percentage held of all stock. Profit: total per year over 1,000,000 yen
Percentage held: at least 5% of all stock
Patent Royalties Total paid per year for patent royalties from companies or for-profit organizations for one patent. Over 1,000,000 yen
Per Diems, Lecture Fees, etc. Total paid per year from one company or for-profit organization for lecture fees and for per diems for the time and tasks required when attending conferences or make presentations, etc. Over 1,000,000 yen
Manuscript Fees Total paid per year for manuscript fees from one company or for-profit organization such as for writing brochures. Over 1,000,000 yen
Research Funding Of the research funding provided from one company or for-profit organization for medical research (contracted research costs, joint research costs, clinical trials, etc.), the total amount per year actually assigned as research funding for which the reporter could substantially decide their use. Over 1,000,000 yen
Scholarship (Incentive) Contributions Of the contributions supplied from one company, organization, or for-profit organization, to the individual reporter, or a representative of the department (course, field, etc.) or the research laboratory to which the reporter belongs, the total amount per year actually assigned as contributions for which the reporter could substantially decide their use.
